Calendar & booking
Pylor has its own scheduler, so the AI does not need another calendar to book. Connecting Google Calendar or Outlook lets it see the rest of your day and put bookings where you already look.
Everything here lives on the Calendar page, which has four tabs: Schedule, Availability, Booking rules and Connections.
Before you start
- Your business hours for each day of the week.
- To connect a calendar: the Google or Microsoft 365 login that owns the calendar you want bookings in.
- Already on Boulevard, Vagaro, Mangomint, Square or a similar platform? Have that login handy for Step 5.
- Your prices, if you have not entered them yet (Step 4).
Step 1, set your timezone and hours
- Open Calendar in the sidebar and click the Booking rules tab.
- Pick your Timezone. It saves as soon as you choose it, and the bar at the top of the Calendar page switches to it.
- Under Business hours, tick the days you are open and set the opening and closing time for each. Unticked days show Closed.
- Under Defaults, set Default appointment length and Buffer between appointments.
- Click Save changes. A Saved tick confirms it.
Step 2, connect Google Calendar or Outlook (optional)
- On the Calendar page, open the Connections tab. The same card is also in Settings under the Booking tab.
- In the card headed Calendar, click Connect next to Google Calendar or Outlook / Microsoft 365.
- Sign in and allow calendar access. You come back to Pylor on an Integrations page that says Connection established.
- Go back to Calendar. The bar at the top now names your calendar instead of No calendar connected, and the calendar you connected shows an Active badge.
- If you connected both, click Make active on the one the AI should book into. Only one is active at a time.
Step 3, deposits (optional)
- Open Settings, Booking tab and find Deposits.
- Tick Require deposits on online bookings, enter a Default deposit amount, and click Save.
Step 4, services and prices
In Settings, Booking tab, Products & services is the price list the AI quotes on calls. The training guide walks through it.
Step 5, keep your booking platform in sync (only if you have one)
- On the Calendar page, Connections tab, scroll to Booking platform.
- Each platform says how bookings reach it before you click: Direct sync means Pylor enters the booking itself. Email to your staff means Pylor emails each booking and someone on your team types it in. Partnership not signed means there is no direct connection; you can use the email option meanwhile. Click Set up and follow the prompts.
- No platform? Leave everything here inactive and Pylor's own scheduler holds your bookings.
Check it worked
- Open the Availability tab. Next 14 days should show your open days as open and your closed days as closed. If it shows No calendar connected, it is only using your hours, which is fine if you skipped Step 2.
- Open your public booking page and check the times it offers match your hours in the timezone you picked.
- Book yourself a test appointment on that page (before you turn on deposits, or you will be asked to pay one). It should appear on the Schedule tab, and in Google or Outlook if you connected one. To remove it, ask the assistant (Ask assistant in the sidebar) to cancel that appointment.
If something goes wrong
Times on the schedule are hours off+
Check the timezone in the bar at the top of the Calendar page. If it is wrong, change it in Booking rules (Step 1). If the timezone is right, open Connections and make sure the calendar marked Active is the one you expect.
Connecting Google or Outlook ends on a Connection error page+
Click Connect again and make sure you tick the box that allows calendar access on the sign-in screen. Sign in with the account that owns the calendar, not one it is only shared with.
The AI says it has no open times+
Open Booking rules and check at least one day is ticked in Business hours, then click Save changes. If a calendar is connected, a day full of events on that calendar shows as booked on the Availability tab.
Bookings are not reaching my booking platform+
On the Connections tab, check the platform's badge. If it says Reconnect needed, click Edit setup and enter the login again. If it says Pending partnership, bookings reach your front desk by email until the API access comes through.
The Deposits card shows a Stripe warning instead of the checkbox+
Deposits are not switched on for your account yet. Email support and we will turn them on.
